We are looking for an Office Assistant to join our office in Athens.

The Opportunity :

This role will provide administrative support to the different Support Professionals departments in Athens (Office Services, Recruiting & Talent Management, EAs, Marketing).

We’re looking for a self-starter who’s comfortable in an environment that is fast-paced and growing.

Responsibilities :

Office Services Support

Delivery and provision of day-to-day facilities tasks and operational activities for the Athens office, :

Answer calls for Oliver Wyman, in a courteous and professional manner, prioritizing as appropriate. Providing assistance and information to callers, re-direct calls as appropriate, take and relay adequate messages when required.

Greet all visitors such as clients, candidates, delivery persons, maintenance workers, etc. ensuring proper security is in place for all guests.

Book meeting rooms and ensure their logistics including general set up / clean-up of rooms, catering requests, liaising with Technology Services for audio and video conferencing requests.

Handle incoming and outgoing mail and packages, copy / binding requests and large mailings ,.

Book cars, couriers, hotels and catering as requested, ensuring requests are properly recorded and allocated to the appropriate cost code.

Process any local Office Services purchases , checking accuracy and coding all Office Services related bills prior to passing on for payment.

Ensure that Oliver Wyman employees get everything they need such as general supplies, etc. providing a safe, clean and secure working environment at all times and escalating to the Office Services Manager when appropriate.

Support local language communications (e.g. public authorities, landlord and local vendors)

In line with MMC H&S governance, ensure compliance with all aspects of Health & Safety and assist with Risk assessments, first aid, fire regulations and training if applicable.

Assist with new hire onboarding, conduct office tour and explanation of office procedures.

Work effectively with all departments to handle requests and to fulfil common goals in a proactive and customer service manner.

Any general duties as directed by Office Services Management.

Office Assistant :

Understand each support department’s business goals and help to push them forward

Work with assigned SPs and take over overflow / help out as advised .

Support local marketing activities such as targeted client mailings / e-mailings, follow-up, client events organization, coordination of media agency.

Provide support to HC Ops and Recruiting upon need.

Supports local assistants with various administration tasks.

Support with the planning and execution of local events.

Take the lead in processing invoices in collaboration with our finance and purchasing department.

Who we are looking for :

Experience in professional services industry preferred, but not required

Excellent verbal and written communication skills and able to deal with people at all levels across a multicultural environment

Team player who has experience of and has enjoyed working as part of a team

Customer service focused dedicated to meeting the expectations of all staff through securing effective relationships with clients and executing deliverables to the highest standards

Ability to multitask, prioritise and manage one’s own time. Not a clock watcher or someone who is unwilling to step outside the job description

One who takes constructive feedback in stride and incorporates feedback quickly

Ability to maintain and respect confidentiality

Attention to detail and stickler for accuracy

Flexible attitude, hard-working and results driven

Technical skills : Good Word, PowerPoint and Excel skills, working knowledge of Outlook.

Very good written and oral English & Greek skills.
