Purpose & Overall Relevance for the Organization :
To provide an excellent standard of customer service to internal customers (adidas colleagues) and office visitors, ensuring seamless support at the point of Reception but also in facilities and general services support.
Key Responsibilities :
To be the first point of contact for company visitors ensuring that you are a professional adidas brand ambassador, giving directions & answering queries
To serve internal customers and visitors, showing high standards of customer care at all times, providing a helpful and friendly service
To monitor visitor access and maintain security awareness
To receive all company’s call-center incoming calls and ensure professional management of the Reception by handling incoming mail / packages
Manage the courier service including invoices checking in relation to outbound mail / packages
To provide support with hospitality services for visitors or colleagues from other countries visiting the local adidas offices (booking flights, hotel accommodation, airport transfers, meal arrangements)
To ensure administrative functioning of the office services by placing orders for services, equipment and supplies; this includes monitoring adequate level of office supplies, overseeing cleaning and security as well as the proper functioning of the office equipment to maintain an efficient working environment
To support in the organization of in-house meetings (i.e. ordering adequate office supplies, coordinating the extra cleaning and security services etc.
and sell-in events in cluster countries (i.e. coordinating hospitality arrangements)
To support in the coordination and monitoring of the services provided by various other vendors managed by the Facilities & Services function in collaboration with the Facilities Manager SEE and other internal key stakeholders
To create Purchase Orders for all vendors under the Facilities & Services function including the correspondence with vendors in order to collect the necessary documentation for vendor creation in SAP
To assist with the equipment and services orders for new colleagues (e.g. laptop, mobile phone, ID access card, subscriptions etc.
or close accounts for them with external vendors where applicable
To assist the Facilities Manager SEE ensure that the offices comply with all statutory regulations and codes of practice
To assist in the compliance of existing Health and Safety policy, safe working practices and adidas best practice, liaising closely with the Facilities Manager SEE
To support the Facilities & Services team and the key internal stakeholders (i.e. HR Department) with various operational tasks on an ad-hoc basis
Requisite Education and Experience / Minimum Qualifications :
3-5 years working experience in Reception and / or Office Management related areas
English : fluent; Local language : preferred; Other language : bonus
Very good knowledge of MS Office, mostly Excel
Knowledge, Skills and Abilities :
Excellent interpersonal, communication and organizational skills
Knowledge of customer service principles and practices
Able to understand and follow complex internal and external function-related policies and procedures and adopt within an ever-evolving organization.
Able to prioritize tasks and manage time effectively
Able to take initiative and work with minimum supervision
An open-minded team-player with a friendly personality willing to learn and develop new skills
