Summary

Energean is looking for an organized, outgoing receptionist / secretary that will be responsible for front desk while providing high-level administrative support to the Country Manager and Group HR Director.

Reception duties

  • Answer, screen, and forward incoming phone calls, providing basic and accurate information in-person and via phone / email
  • Greet and welcome guests as soon as they arrive at the office, direct to the appropriate person and office
  • Receive, sort, and distribute daily mail / deliveries
  • Update calendars and schedule meetings, prepare meeting and training rooms
  • Provide excellent customer service
  • Order front office supplies, keep inventory of stock and maintain updated records of office expenses and costs
  • Arrange travel and accommodations for staff
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
  • Secretarial duties

  • Provide high-level administrative support and assistance to the executives and / or other assigned leadership staff
  • Perform clerical and administrative tasks including drafting letters, memos, or other documents, maintaining executive’s agenda, assisting in planning their appointments, receiving, and screening their phone calls and redirecting them when appropriate
  • Arrange travel and accommodations for executives
  • Receive incoming communication or memos on behalf of executives, review contents, determine importance, and summarize and / or distribute contents appropriately.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
  • Required Qualifications (Skills, Knowledge, and Abilities)

  • 2+ years' years of related experience or similar administrative role required
  • Bachelor’s degree in Business Administration or related field preferred
  • Excellent command of English language
  • Proficiency in Microsoft Office Suite
  • Professional attitude and appearance
  • Hands-on experience with office equipment (telecom devices and printers).
  • Solid written and verbal communication skills
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to work under pressure and meet deadlines
