In an environment of continuous quality improvement, the Administrative Assistant is responsible for performing all levels of departmental administrative support including but not limited to copying, phone / reception, mail handling, filing, scheduling meetings, coordinating activities and general typing.

Exhibits the MHS Standards of Excellence and exercises strict confidentiality at all times.

Job Requirements :

  • High School Diploma, GED or equivalent experience required
  • Courses in office procedures or equivalent required
  • Interpersonal, typing skills and medical terminology
  • Knowledge in the use of spreadsheet and presentation programs
  • Knowledge in the use of database programs
  • Ability to read, write and do math as generally demonstrated by a high school diploma or GED
  • Job Functions :

    1.Exhibits good guest relations with patients, referring physicians, visitors and hospital employees.

    2.Answers, screens and transfers inbound phone calls.

    3.Receives and directs visitors, patients and staff.

    4.Performs general clerical duties including photocopying, fax and mailing.

    5.Maintains electronic and hard copy filing systems.

    6.Handles requests for information and data.

    7.Prepares and modifies documents including correspondence, reports, drafts, memos and emails.

    8.Schedules and coordinates meetings and appointments.

    9.Prepares agendas for meetings and record, compile, transcribe and distribute minutes of meetings.

    10.Opens, sorts and distributes incoming correspondence.

    11.Assumes all other duties and responsibilities as necessary.

    Outpatient Therapy, Audiology, Speech :

    1.Serves as the department insurance link; performs prior authorization for services.

    2.Performs tasks of posting charges and keeping statistics for department.

    MOHP :

    1.Prepares deposits and ensures accuracy of client payments weekly.

    2.Performs billing and collection functions.

    3.Maintains occupational health software database in regards to client accounts.

    4.Assists in scanning processed paperwork as needed.

    5.Acts as company liaison with clients regarding services and updates to client accounts.

    6.Assists with other employee's workload as needed.

    7.Assists director with administrative duties as assigned.

    Care Management :

    1.Maintains a tracking system for all third party payers.

    2.Supports the department director with various duties.

    3.Supports the compliance analyst with various duties.

    Inpatient Rehabilitation :

    1.Coordinates communication and information flow between patient care units, marketing, social services, administration, other hospital departments, and outside community contracts.

    2.Collects and coordinates information from staff members, prepares, distributes, and maintains conference reports and discharge summaries for all Rehabilitation Center patients.

    3.Collects departmental statistical information and records in computer. Tabulates this information and compiles monthly and quarterly reports which monitor patient data and outcome information.

    4.Assists with marketing and community relations activities.

    5.Adheres to attendance policies and completes mandatory in-services as per policy.

    Quality and Infection Control :

    1.Maintains a tracking system for all third party payers.

    2.Supports the department director with various duties.

    3.Supports data analysis and graphic creation for Quality and Infection Control.

    Administration :

    1.Supports patient experience coaching process.

    2.Assists with data tracking and review of patient experience data.

    3.Assists with service excellence programs such as secret shopping.

    Behavioral Health :

    1.Manage all aspects of HBIPS (part of Quality Net) data auditing and collection including monthly audit of patient charts (EMR) and data entry into database.

    Report to director any potential shortcomings found.

    2.Manage patient information database and generates monthly reports to track and trend referral, admission and discharge data.

    Utilizes data to complete program's key statistical reports and generates reports as needed.

    3.Initiate pre-certification calls for private insurance and managed Medicare and Medicaid plans.Also provide concurrent reviews throughout the patient stay.

    Track utilization review outcomes in binder.Manage insurance appeal process and work with hospital Denial Management Coordinator to make collection.

    4.Manages involuntary patients on a spreadsheet in regard to timing of filing court paperwork and hearings.Works closely with court personnel to maintain good relationship.

    5.Collects and manages all quality outcomes (like NCR Picker).Reports of program clinical successes submitted to Program Director.

    6.Prepares marketing collaterals and educational materials, including; mailers, fliers, brochures and presentations by formatting content and graphics.

    Coordinates with hospital marketing department to ensure required approvals are obtained prior to distribution.

    7.Write schedule for clinical staff.

    8.Perform all time clock maintenance for the unit.
