We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
The office administrator ensures the smooth running of our company’s offices and contributes to driving sustainable growth.
Duties and Responsibilities
answering calls, taking messages, and handling correspondence
maintaining diaries and arranging appointments
typing, preparing, and collating reports
organizing and servicing meetings (producing agendas and taking minutes)
managing databases
prioritizing workloads
implementing new procedures and administrative systems
liaising with relevant organizations and clients
coordinating mail-shots and similar publicity tasks
logging or processing bills or expenses
acting as a receptionist and / or meeting and greeting clients
recruiting, training, and supervising junior staff
Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
Supervise members of the administrative staff, equally dividing responsibilities to improve performance
Manage agendas, travel plans, and appointments for upper management
Manage emails, letters, packages, phone calls, and other forms of correspondence
Support bookkeeping and budgeting procedures for the company
Create and update databases and records for financial information, personnel, and other data
Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
Submit reports and prepare proposals and presentations as needed
Assist colleagues whenever there is an opportunity to do so
