    Overall Purpose of The JobTo support the local operation in terms of organizing services in terms of both sales and service functions, and airtime related operations.

    To manage the invoicing process and the task database to ensure all jobs are invoiced fully, correctly and in a timely manner.

    To provide support and back up as required to the accounts team in respect of administration and invoice assistance utilizing the various tools such as Time master, B2B and Ship sure as required.

    Key Responsibilities and Tasks

  • Receive and save down purchase orders from customers.
  • Check a task has been raised in the database for each purchase order, in the correct task / currency, and raise the task if necessary.
  • Receive supplier invoices from finance department, check recorded on database (and pass to appropriate project manager for authorisation.
  • Raise invoices against tasks as soon as all necessary paperwork received.
  • Send invoice out to customer
  • Consolidate information in preparation for entering into finance system by finance team.
  • File paperwork for completed / invoiced jobs.
  • Work with credit controller and answer any invoice queries from customers.
  • Assist Technical Co-ordinator to schedule specific orders with vessels.
  • Assist operational team to receive / send out goods.
  • Work with comms department to act as local agent and provide back-up as required.Required Experience
  • In depth knowledge of Microsoft Excel / Word etc.
  • Good written and oral English skills
  • Excellent communication / presentation / organisation skills
  • High level of attention to detail
