What we do
The Resource Mobilisation (REM) division is the front-line division that works transversally by connecting external resource mobilization and fundraising efforts with ICRC’s field operations, policy design, public positioning and movement relations to enlarge the donor base of support and ensure that the ICRC is and remains the partner of choice for traditional and new donors who want to invest in humanitarian action.
The REM division is divided in 3 pillars : enablers, foresight, markets. It is designed as a matrix structure composed of a team of 125+ staff members at Headquarters in Geneva, Manila and 10 Corporate Support Network (CSN) locations.
As an assistant, you will be responsible for facilitating the daily functioning and operations of the REM Europe market team (9 people), thereby ensuring the optimal performance of the Unit and an efficient workflows of activities.
This Unit manages the ICRC's funding relationship with 15 to 20 donor governments (including 10 Donor Support Group (DSG) members) and National Societies, and provides overall coordination of the new market-
based approach comprising both private and government sources of funding for the selected countries concerned.
Accountabilities & Functional responsibilities
Draft, review, compile, edit and finalize correspondence, presentations, meeting minutes and other documents, such as reports and funding propositions;
ensure final lay out of various documents, plus sending and follow-up of contracts
Organize the flow of information to donors, including updates on ICRC operations and the funding situation
Ensure a coherent and appropriate use of the Team Space (Sharepoint platform) among the team, providing coaching and training as needed
Assure sharing and filing of paper and electronic correspondence to / from governments, Permanent Missions and National Societies covered by the unit, as well as Field and HQ.
Organise internal and external meetings and events, including with donors and key interlocutors; research / provide other supplementary information in support of the unit's visits to and / or from donors and governmental missions
Manage contacts of external interlocutors (contact list / database)
Provide standard administrative support such as managing complex agendas as well as making domestic and international travel arrangements for all members in the unit (itineraries, tickets, hotel bookings, visa, etc.)
In support to and in case of absence of unit members, manage telephone contacts, take and transmit messages
Be ready to assume additional tasks and responsibilities as needed, in the light of the growing workload of the unit.

People management responsibilities
Education and background required
Three or more years experience as an assistant in an international organization or company, if possible with ICRC experience
Excellent command of English and French
Advanced computer skills, including Microsoft Office suite, SharePoint

A broad interest in Operations and wider institutional programming as well as a general interest in humanitarian issues
