With some guidance, the Portfolio & Operations Senior Associate will independently lead execution of global processes, including, but not limited to, portfolio quality, project spend and closeout, operational reporting, transactional financial operations support, and identification and development of Continual Improvement (CI) opportunities.

This role will report to the Director, DHMAI Finance Lead within a matrixed team of 5-8 members.

ROLE RESPONSIBILITIES

Portfolio qualityParticipate in the creation and stewardship of portfolio quality assurance activitiesEnsure key project data elements are populated and tracked consistently, such as status, financials, interdependencies, issues, risks, and accomplishmentsManage regular incoming and outgoing requests for data validationIdentify and address issues to support leads and or project workstream leadsAssist with creation of procedural documentation

Project closeoutFacilitate comprehensive Project Closeout process which includes but is not limited to data validation, budget transfer, launch highlights, and surveysEnsure 2-way signoff and supporting evidence is captured for all projects with future incremental ongoing costs to satisfy annual transfer cycle requirementsRefine and distribute Customer Survey for all closed projects to enable meaningful insights & concrete actions that improve DHMAI service delivery

Process improvementEnsure that P3 records are created and routed appropriatelyIdentify and analyze existing PM approaches and playbooks leveraged in Develop phase in order to identify further CI opportunities

Operational reportingSupport Reporting Lead in development of monthly dashboardsAssist in defining requirements for future optimization

PurchasingPO creation, quality, tracking, and maintenanceLead vendor invoice investigation and engage with Accounts Payable as needed to resolve issuesProcess vendor add / change requests

Month end financial closeUpdate monthly internal finance files and reconcile to central finance reportsWork with Finance managers to determine and submit accruals or other journal entries as neededProvide appropriate supporting detail and input to results commentary

ChargebackAssist with tactical execution of global chargeback and billing processPerform monthly data validationTrack invoice submission to Accounts PayableLead issue resolution and inquiries from business regarding monthly chargebacks

Assist with additional portfolio and financial tasks or special projects as needed

Required

BA / BS degree or equivalent experience in Finance, Information Management, Project Management, Computer Science, or Accountancy

3+ years experience as Information Technology, professional, preferably in pharmaceutical industry

Organized, analytical, detail-oriented individual with the ability to operate in a fast-paced, matrixed organization with minimal oversight

Financial acumen

Working knowledge of Microsoft Office Suite and excellent proficiency in Microsoft Excel

Proven ability to manage tasks to completion

Quickly learns new skills and knowledge readily

Team oriented

Preferred

Proficiency in Microsoft Office applications (e.g., MS Word, Excel, PowerPoint, etc.)

Excellent interpersonal and communication skills

Highly developed sense of responsibility and discretion

Willingness to contribute fresh and innovative ideas

Technical aptitude

Change agile; must take action on projects quickly

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

Minimal travel may be required. Ability to meet virtually with team members in other offices and or regions during off-hours as needed.

Our business is a 7x24x365 endeavor. This role may on occasion require physical or virtual participation on a weekend, holiday, or after normal business hours.

ORGANIZATIONAL RELATIONSHIPS

This role will report to the Director, DHMAI Finance Lead. As part of a matrixed team of 5-8 members, the role will partner with and fill gaps among both portfolio- and financially focused team members.

This person may interact with other parts of the DHMAI and / or Digital organization as well as with members of Enabling Finance, Accounts Payable, or other related disciplines.
