Job Brief

As the Membership Managerat Soho Roc House Mykonos you have detailed knowledge of the Soho House Group and its concept. You have a professional approach towards our members, employees and guests.

You are a well-presented, charismatic and creative individual who is highly motivated. You oversee the day to day running of the membership department, consistently lead your team in displaying a can do’ attitude and yes yes yes’ mentality in alignment with The Soho House Ethos.

Main Duties and Responsibilities

  • Promote Soho House and its concept, whilst achieving the highest member and guest satisfaction
  • Provide direct leadership and support to the membership team
  • Maintain a constant presence in the house, taking time to talk to members and build relationships. Reach out to new members specifically to introduce yourself as someone they can talk to
  • Overseeing all payments for Soho Roc House Mykonos membership
  • Monitoring production and distribution of membership cards for Soho Roc House Mykonos membership
  • Maintaining the upkeep of the membership database for the Soho House group
  • Manage the waiting list for the Soho House Group
  • Preparing all administrative materials for quarterly Committee Meetings
  • Organize the in-take of members following each Committee Meeting
  • Running reports for Membership Directors and GM on all aspects of the database (including renewal rates, email addresses, and card issuing)
  • Oversee the production and mailing of bi-monthly Events Calendar
  • In charge of guest list and invitations for Soho Roc House Mykonos
  • Dealing with membership enquiries
  • Acting as a liaison between an individual Club and its members, obtaining feedback and generally evaluating the mood of a club from a membership perspective.
  • All feedback to be regularly reported to Membership Directors and General Manager for appropriate action

  • Bringing creative ideas for members’ events at the club and public space, based on feedback / demand
  • Oversee the smooth-running of events and establish / report on how well-attended and received they are.
  • In the event of new private club openings, being responsible for researching local companies and meeting individuals who are potentially helpful in the membership database process
  • Assist the Marketing & Communications Manager with marketing of all aspects of the club opening and support other houses with promotions when directed
  • Assist the Membership Director with the guest list database for important global events as directed. Support the staff at each event to ensure the guest list is managed correctly and oversee the smooth-running of the membership process throughout the week
  • Work with Director of Operations and Membership Director on establishing important contacts globally and assist in the set-up of membership in new clubs
  • Order stationery, print, organize, and separate various necessary documents, summarize relevant information, and distribute information to appropriate employees
  • Train and work closely with reception desk staff to attain consistency in the treatment of members and to make sure all procedures are being followed to protect exclusivity
  • Ensure that hourly employees are trained on company core values, job roles, responsibilities, and technical and service aspects of the job
  • Ensure employee compliance with company standards and policies and external regulations.
  • Assign and ensure work tasks are completed on time and that they meet appropriate quality standards
  • Maintain the highest level of appearance at all times
  • Be physically fit and able to safely and repeatedly lift, bend, twist and be able to stand / walk for long periods of time
  • Carry out any reasonable task as requested by management
  • P&D Responsibilities

  • Ensure working hours are logged (daily / weekly) for accurate payroll purposes for your department
  • Ensure the management of annual leave and that all employees take their entitlement within the year
  • Identify recruitment needs in line with company and statutory requirements and in partnership with P&D, recruit a team that meet and exceed customer service standards
  • Communicate via regular team meetings, one to one job chats and training sessions for your direct reports
  • Carry out regular performance reviews, provide feedback and coaching to direct reports as per the P&D guidelines - adhering to deadlines
  • Deal with poor performance through job chats and where necessary, facilitate disciplinary processes according to Soho House procedures
  • Participate and lead internal trainings and attend external trainings where necessary
  • Produce an in-depth training plan for your department to drive sales and profits; liaising with P&D Manager to ensure all training goals and objectives are being met
  • Finance and Economy

  • Be proactive in the opportunity of improving profitability within the department at all levels (i.e. through controlling wastage, being responsible for the economy of all utilities and resources)
  • Health and Safety

  • Ensures good safety practices of staff and guests and that all the team are aware of their Health and Safety responsibilities
  • Report all suspicious persons or activities and ensure that all potential and real hazards are reported and rectified immediately
  • Ensure that any accidents of colleagues, Members, Guests and Visitors are reported immediately
  • Be fully conversant with all departmental Fire, Emergency and Bomb procedures
  • Ensure the team wears appropriate protective clothing when necessary
  • Working with Others

  • Support all co-workers and treat them with dignity and respect
  • Handle sensitive issues with employees and / or guests with tact, respect, diplomacy, and confidentiality
