Do you want to work in a stimulating, international environment for a global leader consulting company? We are currently looking for an Executive Assistant with fluent English and Greek to provide remote executive administrative support from our Athens Office.

The Opportunity :

The provision of executive level administrative support to 2-3 Partner or Principal level consultants, plus the execution of Office Services responsibilities for the local office.

The local office is small but growing and needs a main point of contact for new hires and visitors to the office. Candidate is expected to be a self-starter and comfortable in an environment that is fast-paced and growing.

Candidate will provide local and remote support to consultants who will spend extended period of time at client site. Candidate must be fluent in Greek and English (verbal and written).

The hours for this role are Monday-Friday 9am-6pm, with additional hours as needed. Remote work is flexible based on the covid situation.

Key Responsibilities :

Business Development

Understanding each supported Partner’s business goals and help to push them forward

Developing excellent rapport with client assistants to facilitate access to senior leaders with existing and prospective clients

Work with assigned Partners to tier contacts (clients and prospects) and proactively coordinate outreach based on Partner preference

Reviewing marketing campaigns and determine targeted follow-up

Reviewing Partner’s contact lists and proactively identify opportunities for business development meetings to optimize scheduled travels

Working with CIT teams to coordinate CRM reports, participate in calls and take minutes and disseminate back to CIT team.


Maintaining diaries for Partners, scheduling internal and external meetings, communicating with clients and internal staff as appropriate

Proactively spotting opportunities to add internal and external meetings, interviews, staff meetings, follow up meetings

Travel Arrangement

Coordinating travel and accommodation, book cars, rail tickets, etc.

Developing understanding of Principal / Partner scheduling and travel preferences

Coordinate travel efficiently by grouping client meetings where possible

Daily administration

Single point of contact for all assigned Partners’ administrative needs including security access, conference room booking, catering orders

Liaising with other support departments (DTP requests, printing, recruiting and finance)

Entering and managing contacts and opportunities in CRM

Timesheet, Expense Reporting and Invoicing

Preparing monthly timesheets for each assigned Principal / Partner

Preparing all expense reports in iExpense and / or delegate to a team assistant when necessary

Processing invoices through the iProcurement tools for the Partners and project teams

New vendor set up through the iProcurement system, ensuring vendor process has been fulfilled. Escalating roadblocks that may delay contracted payment terms

Support and Coverage

Providing executive assistant support visiting Partners

Providing coverage for EAs who are out of the office

Providing training to new joiners on specific topics (calendaring, travel, timesheet & expenses, coverage)

Office Services Support

Ensuring all incoming calls are answered promptly, in a courteous and professional manner, prioritizing as appropriate

Logging and greeting all visitors, including clients, delivery persons, maintenance workers, etc. to ensure proper security is in place for Oliver Wyman guests

Booking meeting rooms and manage their logistics including general set up / cleanup of rooms, catering requests, liaising with Technology Services for audio and video conferencing requests

Handling of incoming and outgoing mail, faxes and packages, copy / binding requests and large mailings

Booking cars, couriers, hotels, conference calls and catering as requested ensuring requests are properly recorded and allocated to the appropriate cost code

Checking accuracy and coding all office services related bills prior to passing on to Office Services Manager for payment

Assisting with new hire on boarding, conduct office tour and explanation of office procedures

Assisting in special projects for administrative managers, as requested by the local OW Team

Providing content and updates for POW, our intranet site

Working effectively with all departments to handle requests and to fulfil common goals in a proactive and customer service manner

Assisting with internal office moves and refurbishment projects as needed

Experience Required :

At least three years of experience working in a similar Executive Assistant / Administrative Assistant role.

Experience in financial services, management consultancy and / or a professional services environment a plus

Technical Skills :

Fluency in Greek and English

Knowledge of CRM systems (Microsoft Dynamics), iProcurement, Google Drive and SharePoint, a plus but not necessary

Advanced Word, PowerPoint, and Outlook skills, comfortable Excel skills
