OPERATIONS :

  • Ensures the fabric of the building(s) both externally and internally is maintained and serviced to a high standard, in accordance with the management contract and agreed budgets.
  • Manages, oversees and / or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping and janitorial work.
  • Responsible for the compilation and maintenance of all required management information / records relating to the client.
  • This includes asset register, emergency plans and all other related records and management reports

  • Prepares management reports according to the schedule agreed with the client and assists the Regional Manager with ad hoc reporting and data requests.
  • Oversees the achievement of key performance indicators (KPIs) for the site. Taking remedial action as applicable to ensure the required standards are maintained, and improved where possible, across the portfolio / building.
  • Liaises with the building manager and the procurement department to ensure compilation of external contracts and ensure that all procurement needs are carried out in line with Company policy
  • Oversees third party contracts, ensuring the correct standard of service is provided in accordance with the agreed contract.
  • Considers opportunities for service improvements and efficiencies, cost savings or commercial gains for the client.
  • Proactively manages risk and deals with insurance issues across sites, escalating where appropriate.
  • Participates and contributes to the overall service and financial performance of CBRE through collaboration with other business unit leaders.
  • FINANCE :

  • Manages site budget, conducts financial analysis, and prepares regular forecasts according to agreed schedules.
  • Understand and complete tasks related to the purchase to pay (P2P) process
  • Responsible for all financial costs and controls for site.
  • Works with Strategic Sourcing Manager(s) in procurement activities, ensuring best practise, competitive pricing, development of strategic supplier relationships and proactive delivery of services.
  • Tasks regarding employees :

  • Recruit the execution teams and ensure the correct and timely documentation, according to the norms in force, of the documents necessary for employment and send them to the Personnel department
  • Ensures the training and coaching of the coordinated team, in order to achieve the individual objectives and those provided for in the contract for the coordinated site.
  • Responsible for non-admission to work of untrained employees or without adequate equipment or protective equipment.
  • Maintains regular contact with subordinate employees
  • Is responsible for setting annual SMART targets for subordinate employees and for evaluating annual performance based on these targets.

    OTHER SKILLS / ABILITIES

    Able to solve problems providing a variety of options in a range of situations.

    Experiences in driving and closing out operational change.

    Able to use CAFM systems in line with role needs.

    Good working knowledge of Microsoft Office packages and IT literate.

    QUALIFICATIONS :

    Educated to degree level or work-based experience equivalent E

    Engineering related degree, or equivalent. D

    Facilities Management and / or Engineering professional qualification, or qualified by work-based experience E

    Chartered Engineer. D

    Recognised health & safety qualification. D

    Drivers license. D

    BIFM or equivalent qualification as a member of a Professional Facilities Management organisation.

    EXPERIENCE :

    Previous experience in facilities management. E

    Strong technical knowledge. E

    Knowledge of electrical systems and safe working practices are essential. E

    Awareness of workplace health and safety. E

    Line management experience. E

    Previous experience managing third parties and contractors. E

    Experience in successful client management and relationships building. E

    Previous experience working across a diverse property portfolio. D

    KNOWLEDGE : FINANCIAL

    FINANCIAL

    Able to prepare and present budget reports to the customer and senior team. With an understanding of P&L, Balance Sheet and Cash Flow principles.

    Manages on site costs, monthly forecast, and variance reporting.

    Operational understanding of financial processes including end to end P2P process.

    Able to use relevant CBRE and client finance systems.

    Appropriately manages PO life cycles , closure.

    Able to turn data in to meaningful information that allows action to be taken / decisions to be made.

    Able to identify risks and opportunities

    HEALTH AND SAFETY

    Understanding and knowledge of health and safety legislation in local region. and environmental protection requirements.
