This role will provide direct administrative support for the Sr. Director Finance
Key Accountabilities :
Manage calendars, provide assistance with scheduling meetings and conference calls (includes staff meetings, meetings with PepsiCo senior management and external partners)
Act as point of contact when arranging and managing external customer meetings including Top-to-Top meetings, industry conferences, and market tours
Own agenda and coordinate internal meetings including bi-weekly staff meeting (solicit topics, presentation materials, develop agenda, coordinate calendar invites)
Coordinate travel arrangements (domestic).
Prepare and handle confidential and personnel information
Interface appropriately with many internal and external senior executives, including a broad spectrum of community stakeholders, Senior Executives / NAB,FS Senior Leadership Team and other leaders throughout the organization
Handle team projects, presentations, and business related requests as assigned
Prepare and reconcile T&E reports following a standard format including regularly reviewing reports to ensure Smart Spend compliance
Prepare and maintain P-Card and T&E spend each period
Manage, update and appropriately communicate departmental documents (org charts, correspondence, internal recognition program)
Maintain content, accuracy and visual organization of files
Organize, maintain and procure office supplies
Proactively maintain a detailed filing system and make recommendations of continuous improvements
Qualifications / Requirements
A minimum of 3 years administrative experience
High School Diploma or GED required; Bachelor’s degree preferred
Ability to function well in a team environment, display professional maturity and interact with all levels of management
Effective communication skills, strong collaboration skills and an impeccable standard of excellence
Results-oriented with the ability to complete assignments in a timely manner with little supervision
Ability to handle multiple priorities, including the ability to make clear and timely decisions
Proficient in Microsoft Outlook, Word, Excel, and PowerPoint with the ability to quickly learn the various in-house software applications
APS and Concur knowledge a plus
Aptitude to work with minimal supervision, set goals, create and implement action plans and monitor progress towards goals
Must be authorized to work in the United States
